How to Enable Outlook Calendar Integration

  1. In the Telzino Dashboard, navigate to Customers > [Organization] > [Agent] > Integrations.
  2. Find Outlook Calendar and click to connect.
  3. Sign in with your Microsoft account and grant Telzino permission to access your calendar.
  4. Select the specific Outlook Calendar your agent will use for scheduling and conflict checking.

Scheduling Appointments

When a caller requests an appointment, the agent will:
  1. Check for Conflicts — Access your Outlook Calendar and identify available time slots.
  2. Offer Time Slots — Propose available times to the caller based on your availability settings.
  3. Create Events — Once a time is agreed upon, create an event on your Outlook Calendar with the meeting details.

Availability Configuration

You can control when the agent is able to schedule appointments by including availability rules in your agent prompt. For example:
“Appointments can be scheduled Monday through Friday, 9am to 5pm. Each appointment should be 30 minutes long, scheduled at the top or bottom of each hour.”
The agent uses these rules in conjunction with your Outlook Calendar to determine when meetings can be scheduled. If the requested time is unavailable, the agent will work with the caller to find a suitable alternative.

Troubleshooting

  • Events Not Appearing — Verify that you granted Telzino access to the correct Outlook Calendar and that your Microsoft 365 permissions are current.
  • Conflicts Not Detected — Confirm the correct calendar is selected for conflict checking and that your availability settings match your actual schedule.
  • Sync Delays — Calendar syncs happen in real time, but occasional delays may occur. Try refreshing your calendar or checking your internet connection.
